Introduction

Tee Time Japan, an online travel agency based in Japan, specializes in personalized travel experiences designed to offer visitors an authentic, immersive, and memorable golf experience in Japan. When you book a golf trip or use our services, you accept these terms and conditions ("Terms"), which establish the legal relationship between you (the client) and Tee Time Japan (the Company). It is crucial for you to review these Terms thoroughly prior to booking.

Tour Bookings

2.1 Booking Process

To reserve a golf trip with Tee Time Japan, you may either complete the online booking form on our website or directly contact us to request a trip. For online bookings, follow the website instructions and provide all necessary details. For bookings through direct contact, you may reach out via phone or email, and our representatives will guide you through the process.

Upon receiving your request, we will provide a golf trip proposal detailing the itinerary, included services, and total cost. Agreement to the proposal is followed by issuance of a payment invoice. Full payment is required to confirm and schedule your tour. Accepted payment methods include credit card, PayPal, and bank transfer.

2.2 Changes and Cancellations

We recognize that travel plans can be subject to change. To modify or cancel your booking, contact us at your earliest convenience. The cancellation policy is as follows:

• A non-refundable deposit of $500 per person is required at booking to secure your reservation and cover booking processing costs.

• Cancellations made 90 days before the tour start date incur a 30% cancellation fee of the total tour cost, covering rebooking and preparation costs.

• Cancellations made within 30 days of the tour start date are non-refundable.

• Failure to make full payment 45 days prior to the tour allows the Company to cancel the booking without refunding the deposit. Additional cancellation fees from hotels or services will be deducted or invoiced accordingly.

If cancellations are made by the golf course due to weather, clients receive a full refund, excluding the deposit.

2.3 Golf Trip Prices

Golf trip costs, based on the detailed itinerary and services in the proposal, are subject to change due to factors like currency fluctuations, fuel surcharges, and governmental taxes. Significant price changes will be communicated before final payment is due, offering you the option to proceed or cancel without penalty.

2.4 Golf Trip Inclusions and Exclusions

Golf trips are inclusive of a 35% agency fee, 10% sales tax, and a 1.1% handling fee. Costs outside of the golf trip scope, like travel to the hotel pick up point, visas, insurance, and personal expenses, are not covered.

3. Liability

Tee Time Japan is not liable for personal injuries, death, or loss of property incurred during the golf trip. Clients are responsible for their safety and belongings. While the Company provides necessary support in the event of accidents, it does not cover resultant costs.

Changes to the itinerary for reasons like adverse weather or road closures are within the Company's rights, and no liabilities for costs arising from such changes will be assumed by the Company.

Cancellations initiated by Tee Time Japan will result in a full refund, excluding any non-refundable deposits. No liability for additional costs, such as travel or accommodation, will be assumed.

4. Insurance

Clients are strongly recommended to purchase comprehensive travel insurance covering medical expenses, trip cancellations, and loss of property for protection against unforeseen incidents.

5. Data Protection

The Company adheres strictly to data protection laws and regulations in Japan, committing to the responsible collection and use of personal data as detailed in our Privacy Policy.

6. Governing Law

These Terms are governed by and construed under the laws of Japan. Any disputes related to these Terms fall under the exclusive jurisdiction of Japanese courts.

7. Dispute Resolution

Disputes will initially be addressed through informal negotiations. If unresolved, mediation, arbitration, or alternative dispute resolution methods may be pursued.

8. Entire Agreement

These Terms constitute the complete agreement between Tee Time Japan and its clients, superseding all prior agreements. Amendments to these Terms require written consent from both parties.

By accepting these Terms, clients confirm their understanding and agreement to all conditions set forth, ensuring a clear understanding of mutual rights and responsibilities for a safe and enjoyable experience.
